1. Organization, Mission & Scope of Policy
The New York Council of the Navy League of the United States ('Council', 'we', 'us', or 'our') is a non-profit, non-partisan civilian organization founded in 1902 to support the sea services—the United States Navy, Marine Corps, Coast Guard, and U.S.-flag Merchant Marine. This Comprehensive Privacy Policy governs all personal information collected, processed, and maintained through our digital domains (nynavyleague.org), membership applications, online donations, event registrations, ticket purchases, digital newsletters, surveys, and board member portals.
By accessing or using our websites, submitting applications, or contributing to our programs, you acknowledge that you have read, understood, and agreed to the practices described in this Privacy Policy. If you do not agree, you should discontinue use of our digital platforms immediately.
2. Strict Age Limitations & Protection of Children (COPPA Compliance)
The Council's websites, digital transactions, donation systems, and member registration portals are intended exclusively for individuals who are at least 18 years of age (or the age of legal majority in their jurisdiction of residence). We do not knowingly solicit, collect, or store personal information from children under the age of 13.
Where the Council sponsors, coordinates, or finances youth maritime education programs (including the United States Naval Sea Cadet Corps and the Navy League Cadet Corps), all official applications, participation waivers, and emergency records must be submitted directly by a verified parent or legal guardian. If we learn that personal information of a child under 13 has been submitted online without verifiable parental consent, we will take immediate steps to delete that information from our records. Parents or guardians who believe their child has provided data to our website should contact us at info@nynavyleague.org.
3. Information We Collect and Receive
We collect personal information through three channels: (a) direct voluntary submissions, (b) secure payment transactions, and (c) technical server operations.
A. Information You Voluntarily Provide
When you register as a member, attend events, donate, subscribe to our publications, or communicate with us, we may collect your: full legal name, salutation or rank, postal address, email address, telephone number, military/service affiliation, branch of service, company or organization affiliation, dietary requirements (for catered functions), and biographical notes provided for recognition.
B. Financial & Transactional Data
When you pay dues, purchase tickets (e.g., the Navy Birthday Ball), or make tax-deductible charitable gifts, payments are handled through PCI-DSS Level 1 certified third-party payment processors. The Council never receives, stores, or processes complete credit card numbers, CVV security codes, or bank account credentials on our origin servers.
C. Technical & Security Logs
Our hosting infrastructure (provided via Cloudflare) automatically logs basic technical data necessary for site delivery, load balancing, cyber defense, and bot mitigation. This includes anonymized IP addresses, HTTP user-agent strings, referral headers, and timestamps. These logs are retained strictly for operational security and diagnostic analysis.
4. Absolute Prohibition on Session Replay, Screen Recording & Wiretapping
The Council respects the sanctity and confidentiality of user interactions. We do not utilize third-party session replay software, digital wiretapping scripts, screen recording software, mouse movement trackers, or keystroke loggers (such as FullStory, Hotjar, LogRocket, Smartlook, or Microsoft Clarity).
At no point are your form entries, keystrokes, or navigational paths intercepted, recorded, or transmitted to analytics vendors for surveillance or behavioral profiling.
5. Self-Hosted Typography & Zero Cross-Site Ad Telemetry
All visual assets and web typography—including Google Fonts (Inter and Fraunces)—are self-hosted and delivered locally from our origin infrastructure. Your browser never initiates unmediated network requests to external third-party font servers, telemetry aggregators, or cross-site tracking domains when loading our site.
We do not sell, rent, license, or barter your personal contact details, donation history, or member status to commercial data brokers, political campaigns, or commercial marketing syndicates.
6. How We Use Collected Information
Information collected by the Council is utilized strictly to further our non-profit educational and military support mission, including: (a) verifying active membership status; (b) managing adopted units, ships, and cutters; (c) coordinating event ticketing, venue security clearances, and guest check-ins; (d) generating IRS-compliant tax acknowledgement letters for charitable gifts; (e) distributing our monthly newsletter ('The Bosun's Pipe'); and (f) fulfilling legal, corporate, and statutory governance obligations under New York law.
7. Email Communications & Anti-Spam (CAN-SPAM Act Compliance)
All broadcast, commercial, and informational electronic mailings dispatched by the Council comply strictly with the federal CAN-SPAM Act of 2003 and applicable anti-spam standards.
Every broadcast email: (a) clearly identifies the Council as the sender; (b) features a valid, physical postal address: New York Council Navy League of the United States, 229 W 43rd St, 8th Floor, New York, NY 10036; (c) provides an unmistakable, one-click unsubscribe mechanism or clear reply-to instruction; and (d) maintains accurate, non-misleading subject headers.
To opt out of promotional or newsletter communications, you may click the 'Unsubscribe' link embedded in any email footer or transmit a direct request to info@nynavyleague.org. Unsubscribe requests are honored promptly and without charge.
8. Information Sharing, Disclosure & Third-Party Service Providers
The Council will not disclose your personal information to third parties except: (a) to trusted operational vendors who assist in hosting, database administration, and payment processing under strict contractual confidentiality; (b) to military base commands, naval installations, or private venue security teams solely to the extent required for mandatory guest clearance and event access; or (c) where required by enforceable legal process, subpoena, or to protect the safety of service personnel, attendees, and our organization.
9. Data Security & Storage
We implement industry-standard organizational, administrative, and technological security controls to guard personal data against unauthorized access, loss, misuse, alteration, or destruction. Digital communications between your browser and our servers are encrypted using modern Transport Layer Security (TLS 1.3). However, no internet transmission can be guaranteed 100% secure, and you submit data at your own risk.
10. State-Specific & International Privacy Rights
Depending on your geographic residence, you may hold statutory rights under state privacy statutes (such as the California Consumer Privacy Act/CPRA, New York privacy frameworks, or the European Union GDPR). These may include the right to: (a) request disclosure of the categories and specific pieces of personal data collected; (b) request correction of inaccurate records; (c) request deletion of personal information (subject to legal retention requirements); and (d) lodge inquiries regarding data handling. To exercise these rights, contact info@nynavyleague.org.
11. Revisions to this Privacy Policy
The Council reserves the right to amend this Privacy Policy periodically to reflect technological changes, evolving legal mandates, or modifications to our services. Any updates will be published on this page with an updated 'Last Updated' date at the top. Your continued engagement with our website after such updates signifies your acceptance.
